AI Client & Lead Automation | AI Office

What usually happens without a Client and Request Control System?

Attempts to organize orders, inquiries, and the client base manually from different sources

  • requests in WhatsApp, Telegram, Instagram
  • someone forgot to reply
  • the client went to a competitor
  • you don’t even know how much you’ve lost

The cause is not the human factor. The cause is the lack of a system.

Frequently Asked Questions

About customization flexibility, implementation cost, ownership rights, and payment terms

What are the payment terms and methods?

Payment is made only upon completion of the work.

First, the system or module is set up on the Contractor’s side. After that, the Client gets access for testing for 3 to 5 days, depending on the type of automation or module.

After the Client confirms that the system works correctly and to a high standard, payment is made by bank transfer to the sole proprietor account (FOP) of a Ukrainian resident.

Once payment is received, the following is carried out:

  • transfer of the setup to the Client’s infrastructure, or
  • handover of the necessary access and connections to the Client.
Are there any additional payments?

Some projects may include external services with separate payment, depending on the chosen architecture and system functionality.

Possible additional costs:

  • n8n hosting / automation server — approximately from $6/month (may be required for the AI chat and complex automation scenarios).
  • Website hosting — depends on the chosen hosting provider and the project load.
  • Domain name — approximately from $15/year, depending on the domain zone.
  • OpenAI API — usually within $3–5/month for small AI chats (the cost depends on user activity and request volume).
  • Supabase — for small projects the free plan is often enough; for large projects the cost depends on database size and load.
  • Telegram / WhatsApp / Viber API — according to the pricing of the respective services (Telegram Bot API is free).
  • CRM, email services, and third-party SaaS platforms — according to their own pricing (used only when integrations are needed).

Important!

We strive to choose the architecture and tools to fit the client’s budget and avoid unnecessary costs.

Most basic modules do not require additional monthly payments, except for the AI chat, where a minimal AI API budget is usually enough.

Is payment for modules one-time, or does it require renewal?

Payment for modules is made as a one-time payment.

Additional costs may arise only for external services and infrastructure required for the automation to work: hosting, AI API, CRM, domains, databases, messengers, and other third-party services.

Such payments are usually made separately and are billed monthly or annually, depending on the chosen services and project load.

What is the refund policy?

Before paying, the client receives a demonstration of the completed work and time for testing to make sure the result is satisfactory.

If the result is not satisfactory, the Client does not pay for the work. In that case, all settings are deactivated and the personal data provided is deleted.

Certain technical solutions or project elements may be used by the Contractor as examples or in a portfolio, strictly in compliance with confidentiality and only based on data that is already publicly available.

Since automation is a custom digital service created for the Client’s specific technical requirements, refunds are not provided after the project, access, or system has been handed over or transferred.

This condition is stated in the User Agreement, acceptance of which is mandatory for placing an order.

Personal data?

Personal data is not shared with third parties under any circumstances, except in cases expressly provided for by law.
When purchasing modules, the Client must agree to the User Terms, which include consent to the processing of personal data solely for project delivery, technical support, and communication regarding the order.
Contact details are not used for sending spam, shared with advertising platforms, or sold as databases.

Intellectual property rights?

The entire system architecture, internal logic, automation scenarios, technical solutions, and automation code remain the intellectual property of the Contractor unless otherwise agreed separately.

When purchasing the multilingual AI chatbot in the Self-hosted infrastructure variant, the Client receives:

  • The architecture responsible for retrieving information from the database and sending replies to users in the chat.
  • Access to a separate database created for the Client’s project, which stores information prepared from the website’s materials for the chatbot’s operation and communication with potential clients.

Access and the working architecture are handed over only after:

  • the Client completes testing;
  • confirmation that the system works correctly;
  • full payment for the project.
Are the architecture and code handed over when ordering modules?

Partially.

The Client receives access to the functionality needed for the project to work, as well as to the data and services used within their business.

The system’s internal architecture, data processing methods, technical operating logic, automation scenarios, source code, and other technological solutions remain the intellectual property of the Contractor unless otherwise agreed in a separate contract.

For projects with an AI chat, a separate knowledge base is created for the specific business. The Client uses this base within the project, but the architecture of its creation, processing, and maintenance remains on the Contractor’s side.

When ordering document automation, the system may be hosted on a separate hosting or server, depending on the project’s tasks and infrastructure requirements.

The format for providing access, hosting the system, and technical support and maintenance is agreed individually for each project.

Is technical support provided?

Yes. If, after the system is launched, you need to expand functionality, connect new services, or make additional changes, this work is performed separately and paid at an agreed hourly rate.

All modules are developed and configured individually for your business needs and do not require ongoing technical support during normal operation.

If the system stopped working because access, API keys, tokens, the database structure, tables, or other technical settings were changed independently without prior agreement, restoring the system is performed as a separate paid service.

Stages of cooperation if you already have a WordPress website?

To get started, you will need:

If a WordPress website already exists, the Client provides:

  • a separate Gmail account created specifically for the project (passwords can be changed after the work is successfully completed);
  • access to the WordPress website;
  • Telegram bot tokens (if needed).

The technical specification must include:

For the contact form

  • a list of form fields;
  • the data to be passed along the chain:
    Contact form → Google Sheets → Telegram bot → Google Calendar.

For the appointment form

  • a list of data about the client, the appointment, and the service;
  • the data to be passed along the chain:
    Appointment form → Google Sheets → Telegram bot → Google Calendar.

For Google Sheets

  • the desired order of columns;
  • column names;
  • specifics of working with the table (for the business that will use this document).

For integrations

  • preferences for integration with a CRM system.

CRM integration is not included in the base price of the modules and is calculated separately.

For document automation

  • a list of documents;
  • document templates;
  • marking of the places where data is to be inserted;
  • a description of which data should be inserted automatically into which fields.

Automation trigger logic

  • on user request;
  • on a schedule;
  • via specific events or triggers;
  • another option (by agreement).
